VB Marathons Inc. Event Terms & Policies

Thank you for participating in an event hosted by VB Marathons Inc. We are committed to providing a safe, welcoming, and meaningful experience for all participants, volunteers, sponsors, and community members.

By registering for or participating in a VB Marathons Inc. event, you acknowledge that you have read, understand, and agree to the following Event Terms & Policies, including the Participant Waiver and Release of Liability.

Assumption of Risk

Participation in a VB Marathons Inc. run/walk event involves inherent risks, including but not limited to:

• Falls
• Uneven or changing terrain
• Weather conditions
• Contact with other participants, spectators, volunteers, or objects
• Physical exertion and fatigue
• Dehydration or other medical conditions
• Medical emergencies

By registering for and participating in the event, I acknowledge these risks and voluntarily assume responsibility for any risks associated with my participation.

Participant Waiver & Release of Liability

I agree to release, waive, and hold harmless VB Marathons Inc., its directors, officers, volunteers, sponsors, partners, affiliates, vendors, and event locations from claims, liabilities, damages, expenses, or causes of action arising out of or related to my participation in the event, except where such liability cannot legally be waived.

Participant Eligibility

Participants are responsible for determining whether they are physically capable of participating in the event.

Participants under the age of 18 must have permission and consent from a parent or legal guardian before participating.

Event Rules & Participant Conduct

Participants agree to:

  • Follow instructions provided by event staff and volunteers.
  • Remain on designated event routes and areas.
  • Respect other participants, volunteers, sponsors, vendors, and community members.
  • Follow all applicable park rules, venue requirements, and local regulations.

VB Marathons Inc. reserves the right to remove any participant whose behavior creates a safety concern or negatively impacts the event experience.

Medical Responsibility

Participants acknowledge that:

  • They are responsible for their own physical readiness and medical condition.
  • They should consult a medical professional if they have concerns about participating.
  • Emergency medical assistance may be requested or provided if deemed necessary.

Participants are responsible for any medical expenses incurred before, during, or after participation.

Weather & Safety Policy

The safety of participants, volunteers, and staff is our highest priority.

VB Marathons Inc. reserves the right to delay, modify, postpone, relocate, or cancel an event due to circumstances including, but not limited to:

  • Severe weather
  • Lightning
  • Extreme temperatures
  • Natural disasters
  • Safety concerns
  • Circumstances beyond the organization’s control

Participants should monitor official VB Marathons Inc. communications for event updates.

Registration & Refund Policy

Unless otherwise stated:

  • Registration fees are non-refundable.
  • Registration transfers may be allowed at the discretion of VB Marathons Inc.
  • Event modifications or cancellations may occur due to safety concerns or circumstances outside the organization’s control.

Any decisions regarding refunds, transfers, or credits will be communicated by VB Marathons Inc.

Photography & Media Release

By participating in a VB Marathons Inc. event, participants grant permission for photographs, videos, and other recordings taken during the event to be used for nonprofit purposes, including:

  • Event promotion
  • Awareness campaigns
  • Social media
  • Website content
  • Fundraising materials

Participants who have concerns regarding media use may contact VB Marathons Inc. prior to the event.

Personal Property

Participants are responsible for their own personal belongings during the event.

VB Marathons Inc. is not responsible for lost, stolen, damaged, or misplaced personal property before, during, or after the event.

Sponsor and Partner Acknowledgment

Participants acknowledge that VB Marathons Inc. events may include sponsors, vendors, community partners, and other supporting organizations that contribute to the success of the event and help advance the organization’s mission.

The presence of sponsors, vendors, or partners does not constitute an endorsement of their products or services by individual participants.

Privacy

Information collected during registration is used for purposes related to event participation, participant communication, volunteer coordination, organization operations, and improving future events.

VB Marathons Inc. does not sell, rent, or trade participant information.

Changes to Event Information

VB Marathons Inc. reserves the right to modify event details, schedules, routes, policies, or procedures when necessary to maintain safety, comply with requirements, or improve the participant experience.

Agreement

By registering for a VB Marathons Inc. event, I acknowledge that:

  • I have read and understand these Event Terms & Policies.
  • I voluntarily agree to participate.
  • I accept the risks associated with participation.
  • I agree to the Participant Waiver & Release of Liability.
